This Privacy Policy (hereinafter referred to as the “Policy”) is provided to clients and users (hereinafter referred to as “Users” or “You”) of the online platform that provides access to software products and services designed to support the management of small businesses in the beauty and health industry (including but not limited to: dentistry, fitness clubs, beauty salons), primarily through databases hosted on the User’s personal computer or online at https://aihelps.com/ (hereinafter referred to as the “Software”), which is owned and operated by Ai Helps LLC (hereinafter referred to as the “Company” or “We”).
This Policy has been developed in accordance with the Law of Ukraine “On Protection of Personal Data” dated 01.06.2010 No. 2297-VI, and takes into account the principles of the General Data Protection Regulation (GDPR) of the European Union, as well as the requirements of application distribution platforms (App Store, Google Play).
Please note that You may not use the Software until You have provided Your explicit consent to the provisions of this Privacy Policy through the technical means provided by the Software.
1. Personal Information
1.1. The Company collects personal information about You or other Users when processing transactions with any of the Company’s licensees, for the use of the Software, in accordance with the authority granted by the Company’s agents, if any.
1.2. For the purposes of this Policy, Your personal information includes:
— Your full name and contact information;
— the name of the organization You represent and its address;
— client database (which constitutes personal information of Your business’s clients);
— financial information;
— geolocation information;
— any other information or any combination thereof provided by You or on Your behalf to the Company or its licensee and/or agent.
We use the term “Personal Information” to refer to any type of information that may be used to identify or can be readily associated with You or the organization You represent.
We may also collect a subcategory of personal data referred to as Financial Information, which includes passwords, credit/debit card numbers, bank and other account numbers, and bank account information.
2. Health Data
2.1. Given that the Software is designed for managing businesses in the beauty and health industry, the Company may access and/or collect the following categories of data related to the health of Users or their clients (hereinafter referred to as “Health Data”):
— records of procedure visits (dental, cosmetic, fitness procedures, etc.);
— health information about clients provided voluntarily by those clients (allergies, contraindications, medical restrictions);
— service history that may contain health-related information;
— before/after procedure photographs, if uploaded by the User into the Software.
2.2. Health Data is collected and processed exclusively for the following purposes:
— ensuring the proper functioning of the Software for record-keeping and client database management;
— enabling the User to maintain service records and client visit history;
— improving service quality and personalizing the Software usage experience.
2.3. The Company does not use Health Data for advertising or marketing purposes, does not share it with third parties for such purposes, and does not engage in automated decision-making based on Health Data.
2.4. Health Data is stored in compliance with enhanced security requirements, including encryption during transmission and storage. Access to such data is restricted exclusively to authorized Users of the respective account.
3. Use of Personal Information
3.1. By purchasing the Software, You acknowledge this Privacy Policy and agree that Your Personal Information will be collected, stored, compiled, and otherwise used by the Company, its licensees, and/or agents. You also confirm that if the Personal Information You provide belongs to any third party, all necessary consents and approvals from such third party have been lawfully obtained by You.
3.2. Personal Information is used for:
— ensuring proper connectivity and providing information from the Software databases through Your account registration data;
— verifying User identity and processing Software payments;
— invoicing and accounting purposes;
— fraud prevention and credit risk reduction.
3.3. Except as provided in this Policy, we will not share Financial Information with third parties without Your prior consent or a mandatory legal requirement.
3.4. After purchasing the Software, You may from time to time receive information about the use of the Software or about products and services of other companies. You may opt out of receiving such information by contacting us at info@aihelps.com.
3.5. You acknowledge that the Company may disclose Your Personal or Financial Information to assist law enforcement agencies in complying with laws and regulations, or to protect the rights, property, or safety of the Company, Users, or other persons. We will endeavor to notify You in advance whenever possible.
3.6. We will use Your Personal Information exclusively within the scope of Your use of the Company’s Software. We will not intentionally seek Your Personal Information through any other databases, web resources, etc.
3.7. Your Personal Information may be used to contact You by mail, telephone (including SMS), email, or through notifications within the Software. The Company does not sell names, email addresses, or any other personal information to third parties.
4. Security
4.1. The Company will take all reasonable measures to maintain the security of any information we hold about You and the organization You represent. Our system servers are protected by advanced firewalls. Our server protection software meets industry standards and encrypts all Your Personal Information.
Please note that we cannot guarantee the security of information stored on Your personal computer and shall not be liable for any security breach with respect to such information.
5. Data Retention and Deletion
5.1. The Company retains Your Personal Information for the duration of Your account and use of the Software, as well as for an additional period necessary to:
— fulfill legal obligations (including the retention of accounting and financial records in accordance with Ukrainian law);
— resolve disputes;
— ensure compliance with our agreements.
5.2. Specific retention periods:
— account and profile data: for the duration of the account + 180 days after deletion;
— financial information: 7 years after the last transaction (in accordance with accounting requirements);
— client health data: for the duration of the account + 180 days after deletion, unless otherwise required by law;
— log data: up to 6 months;
— cookies and analytics data: up to 6 months.
5.3. You have the right to have Your Personal Information deleted. To exercise this right, You may:
— send a data deletion request to info@aihelps.com
5.4. Upon receiving a deletion request, the Company will:
— acknowledge receipt of the request within 10 business days;
— delete or anonymize Your Personal Information within 30 calendar days, except for data that is required to be retained by law;
— notify You upon completion of the deletion.
5.5. Please note that account deletion is irreversible and will result in the loss of access to the Software and all associated data that is not subject to mandatory retention.
6. User Registration Data
6.1. Through the Software and Company registration forms, our website may require You to provide us with Personal Information. If You order the Software, You will be asked to provide Financial Information and to identify the business entity You represent.
6.2. You have the right to:
— obtain a digital copy of the Personal Information we hold about You;
— correct any inaccuracies in such information;
— request the deletion of Your personal data (see Section 5);
— restrict the processing of Your personal data;
— receive Your data in a structured, commonly used, machine-readable format (right to data portability).

7. Cookies
7.1. Our website uses cookies to track Your activity on its pages. Cookies are small pieces of information that a website transfers to Your computer’s hard drive. We use cookies to save Your password, deliver content tailored to Your interests, and evaluate the number of Users. If You do not wish to receive cookies, You may configure Your browser accordingly; however, this may limit the functionality of the Company’s services.
7.2. Any interaction with our website and/or Software may reveal Your IP address. We may use Your IP address for diagnostics, website administration, demographic data collection, and fraud detection.
7.3. The Company also automatically obtains information about the location of Your device when accessing the Company’s website. Location data is used to provide and improve the Software.
7.4. We collect log data (Your IP address, browser type and version, pages visited, date and time of visit, etc.).
7.5. Demographic information is used to adapt our website and Software to Users’ interests.
8. Access to Other Websites
8.1. The Software may provide links to external third-party websites. These websites are not under the Company’s control, and we are not responsible for their privacy policies or content. We recommend that You carefully review the privacy policy of any website before disclosing Your personal information.
9. Data Breach Notification
9.1. In the event of a personal data security breach that may result in a high risk to the rights and freedoms of Users, the Company will:
— notify the relevant supervisory authority within 72 hours of discovering the breach;
— notify affected Users without undue delay;
— take all necessary measures to minimize the consequences of the breach.
10. Revision of the Privacy Policy
10.1. The Company reserves the right to amend this Policy at any time. The updated version of the Policy will be posted on the Company’s website with the date of the last update indicated.
10.2. Use of the Company’s website and/or Software constitutes Your acceptance of the current published version of the Policy. The Company guarantees that under all circumstances, Your data will be processed in accordance with this Policy.
10.3. In the event of material changes to this Policy, the Company will notify You via email or through a notification in the Software at least 14 days prior to the changes taking effect.
